Prior to applying to this job as an Academic Support Coordinator, you have to understand that a few administrative duties will come with the role. During your interview, your interviewer wants to hear that you can handle the administrative tasks required in this role with ease, and this question gives your interviewer the chance to see just that. If you have experience coordinating and scheduling meetings for key stakeholders, talk about that experience and the steps you walked through to make sure the meeting was scheduled promptly. Some important things to keep in mind as you answer are your ability to communicate, be organized, and use the tools at hand to ensure the availability of all that is required to participate.

"In my current role, this is a frequent task that I handle for our educators and leaders. When I would have to schedule meetings in this role, I would begin by looking into the availability of all that is being requested to meet. I would work through their Outlook calendars to try and find a time that all were available. If needed, I would communicate with the necessary participants, or their assistants, if I had trouble deciphering things on their calendar. Next, I would schedule the meeting through everyone's calendar and take the necessary steps to block and schedule a meeting space. If the meeting were virtual, I would schedule it through the appropriate media. Last, I would prepare any materials that I was asked to before the meeting and send out to all participants the day before the meeting."

I was often tasked to set up meetings for my team. I had to be in contact with several individuals not always located in the same building. I had to contact each one and make sure they were available. I would then send out a calendar invite through Outlook so that everyone was on the same page.

Good start! Consider aspects for both on-site meetings and virtual ones. This could also include securing a meeting room and sending out email reminders and an agenda as well.
