"When I worked at x Company in x role, we had a major event happening where over 200 guests were joining us for an evening event. On that particular day, there was a really bad storm that caused an electricity outage. As a team, we were tasked with trying to find out whether the power would be back on in time and if not, putting in place a contingency plan. My teammates were stressed, but I knew that staying calm and utilizing a strategy would be the best way forward.
I felt we would be most effective if we split our team of six into three groups. I suggested that two members work with the service providers to find out when the power was likely to be restored, two members work to explore alternative venues, and the other two would handle guest and vendor communication. My teammates agreed with the plan, and I volunteered to work on the team tasked with contacting the vendors and all 200 guests.
I sent group texts, made individual phone calls, and sent emails to communicate the known details of the situation. Ultimately, we had to postpone the event until a later date but many of the individuals I reached out to thanked me for my prompt communication.
While I was somewhat new to event planning at the time, I learned that staying calm in the face of a challenge is critical. I also learned that anyone can be a leader and that the most important thing is to work as a team to establish an effective strategy in the face of a challenge. I feel confident that I will be able to handle challenges effectively here at XYZ University if hired."

"I have dealt with difficult situations with others professionally several times in my career. One that springs to mind is when a student's registration form disappeared which resulted in them missing an extracurricular activity. They were upset and pressed me to go around the process so that they could participate. I listened with empathy and communicated that I understood their frustration. I explained in detail how the system works and why prompt registration form submission is required. I then took the time to search our database for similar programs that had available spots as well as future listings for the activity the student was originally interested in. He was definitely disappointed to miss out on his original choice, but we were able to find a new activity that would offer him some benefit until his preferred choice was available again. Working with him took extra time on my part, but I am invested in helping our students find a way forward even if their original plans fall through. I think it helps them build skills that serve them in the future."

"I am a big fan of to-do lists and Outlook. I review each morning, midday, and each night to understand what needs to be done, develop an order to complete the tasks, and devise a plan to address anything that is in jeopardy of not being done within the given time frame. I color-code my tasks by priority so they will visually jump out at me. In any task that I am given, I always note when it must be achieved and also make an assessment of the effort I think it may require. If I feel that the assessment means the effort far outweighs the deadline as being achievable, I will raise this immediately so that expectations can be set. The result was long lines and impatient students needing service before their next class began. We worked on a first-come, first-served basis and I felt like there was a more effective way to control the traffic, reduce the stress on our department, and help more students get what they needed in a timely manner.
I suggested to the manager of our office that we work with the IT department to establish an online appointment booking system. I felt we could reduce the flow during busy times if we dedicated a few of our office members to handling booked appointments and encouraged students to plan ahead. I gathered all the data from logging-in reports and even analyzed CCTV to cross reference these. I put a lot of effort into collating this information. I was then told that everything had been dropped because the employee was related to a senior manager. TASK: Since I was the (job title), it was up to me to place the office supply orders. Everybody (who was everybody?) thought that I order the wrong toner, and I took the blame for the inconvenience.
ACTION: I knew that it was not my error; however, I chose not to become defensive. Instead, I simply took a USB with the presentation to the print center. I printed the presentation and gave it to my boss. I also apologized for the inconvenience the situation caused and promised to be more careful next time.
