"I have used x system before in my previous role. As part of my role, I was required to update and amend records as and when changes occurred. I ran monthly reports for management review relating to X topics and started to develop skills in which to present this in graphical form. I have experience with all of the Microsoft Office systems such as Excel, Word, and Power Point. I have used the Google versions of these tools as well and use them to produce reports on daily statistics and trends over time."
Think about the various systems you have experience with and make a mental list for reference. If your experience is limited with basic programs such as Microsoft Office, Google Docs, or Google Sheets, take the time to learn the basics before your interview. Also, review any specific systems mentioned within the job description and research them briefly if you are unfamiliar with them.
Briefly describe the technologies you have experience with within an office setting. Be sure to explain the business function of any company-specific system names or acronyms your interviewer may not be familiar with. Finally, note any systems you have used outside of office settings that you feel apply to the university administrator role.

Microsoft Office programs for all reports that need graphs and stats. I also use an Integrated Technology system to be able to verify the information of customers.

Wonderful! To ensure that your interviewer understands your experience, I recommend also including your level of comfort with these systems. For instance, you could grade yourself 1-10 or beginner/intermediate/expert.
